Conference Coordinator The Elvetham Hotel, 17-19K, Hartley Wintney (Hook )

The Elvetham hotel is set within 35 acres of gardens and parkland. With 70 bedrooms 21 meeting rooms 90 cover restaurant plus private dining rooms. Weekday business is mainly focused on conferences and meetings while weekends are perfect for weddings the hotel an be booked on an exclusive use basis. All our meeting rooms have natural daylight. This is a key role to the business and the successful candidate will be instrumental in securing conference bookings and coordinating them through to arrival. They will require strong communication skills both verbal and written and a clear and professional telephone voice. The perfect person will be able to build a friendly rapport with our customers yet also have a strong commercial awareness to maximise revenues. Excellent computer skills are essential for this role and experience with the Kinetics Kx or other conference booking system would be a distinct advantage. The main duties and responsibilities of this challenging role are- To manage all aspects of the conference bookings from enquiry stage through sales show rounds and most importantly the event coordination up to the event. The Work Our receptionists are responsible for making guests feel welcome dealing with room bookings and cancellations and handling general requests made by guests during their stay. As a hotel receptionist your main duties will include dealing with reservations by phone e-mail letter fax or face-to-face checking guests into and out of the hotel allocating rooms and handing out keys preparing bills and taking payments handling foreign exchange taking and passing on messages to guests dealing with special requests from guests (booking theatre tickets or storing valuables) answering questions about facilities in the hotel and the surrounding area dealing with complaints or problems. Use of a computerised system to make reservations and keep room bookings and availability details up-to-date. You will work as part of a team and you may specialise in one aspect such as telephone reservations or checkouts your duties may include a wider range of tasks such as showing guests to their rooms showrounds etc. Hours You will usually work shifts which could include evenings nights weekends and public holidays. The Night Manager works closely with the Night Assistant through the night to provide all aspects of guest service and security. The Night Manager will be responsible for all reception duties during the shift as well as all of the end of day proceedures to balance the systems and accounts. Therefore the succesful candidates must have strong computer and numeracy skills. Preference will be given to candidates who have held a similar role within a hotel although training will be given. Hours 7pm- 7am 4 days on 4 days off on a rolling rota.
